CSIRP Board Retreat Saturday June 19, 2001 John Muir's Cottage, Quebec Barry Rueger, Victoria Fenner, Douglas Samuel, Heather Majaury, Chris Brooks, Hal Doran, Andy Posthumus, Chair: John Muir AGENDA 1. Membership development strategies - renewals, growth, etc. a. We have 81 names in our database. 17 are up to date with dues. 2 are lifetime members, and 5 have no address. Hal will send out renewal letters, Victoria will help to tailor these to suit those who became members as the result of participating in vents such as FMOK. b. We will continue to have both regular and student memberships. Membership offers: a newsletter; email list; workshop discounts; networking opportunities; public visibility for radio producers; and lobbying. c. An Organizational membership will cost $100 yearly. This will allow three individuals to attend workshops at a discounted rate, and three to join the CSIRP member list serv. Organisational members will receive ten newsletters. Current Organizational members will be grandfathered for one year. d. Our goal for the upcoming year is to have 50 paid members. e. We need a Membership Brochure. Victoria will email Hal with the existing version. 2. Privacy of Membership Lists a. Our member list will be distributed only to members. b. We will add a website section for member bios and contact info. Members will be givent he option of opting out of either of these. c. Heather and Douglas will sort out the details for this. 3. Website development strategy - who? what added content? (minutes, yearly audited statements?, by-laws, radio productions skills, Creative Radio workshops - outline of instructional material? Other?) a. There is some funding in Victoria's projects for web development. b. Things that we want include: directories; training materials; listings of various sorts; promotion for CSIRP, including a mission statement; back issues of Wavelength. c. Our new URL shall be radiosite.ca. Barry will register this name. d. We will place an ad in the next newsletter offering an honorarium of $600 per year to a qualified web person who can manage the site. e. A Board committee will be struck to develop a style guide for the website, and to oversee the content. 4. Wavelength - review goals and distribution, editorial schedule for coming year, potential for development, potential new advertisers? a. We are trying to do four regular issues each year. b. Each issue costs about $1000 including postage c. To date the newsletter has been subsidized with project money d. The focus of it is Resources for Producers e. Heather will take the job of selling advertising. Victoria will forward a rate sheet to her. f. Both Heather and Barry will donate their time for the first year. 5. Graphic Design - do we need it? a. We will announce a contest in the next Wavelength for a CSIRP logo. The prize will be $100 plus a one year membership. Deadline will be two months after publication. 6. Budget Development Etc. a. Victoria has already projected a 2001 budget as part of the Trillium application. b. The review of our budget will be completed by September c. Our fiscal year is April 1 to March 31 d. Victoria and Douglas will have developed 2002 and 2003 budgets by the end of August. 7. Annual general meeting - should we have an annual online or in- person membership meeting in conjunction with annual Board AGM? a. We need 12 members, in person for an AGM. b. Our officers are: i. Hal Doran - Chair and President ii. Chris Brooks - Vice-Chair and Vice President iii. Douglas Samuel - Treasurer iv. Barry Rueger - Secretary v. Victoria Fenner - General Manager c. Future budgets should allow for the costs of getting Board Members to meetings. 8. Project Development Process - how and under what circumstances are grants applied for under our name. How much of a cut do we require? a. Any proposed application should go to the General Manager for review, and then to the Board for final approval. b. Each application submitted to the GM will include a Letter of Understanding which defines the relationship between CSIRP and the Producer. We will develop a standard agreement which outlines: i. Benefits (primarily financial) to CSIRP ii. Guidelines on the use of the CSIRP name iii. The obligations and responsibilities of each party iv. Disposition of any capital items purchased by the project v. Insurance requirements vi. Reporting requirements vii. The Producer owns the completed work and related "names" etc, but CSIRP reserves the right to use project developed material in a promotional manner viii. An archive copy of any CSIRP projects may be requested by CSIRP. ix. All cheques from funders are to "CSIRP". The disposition of funds will be managed in a way that makes us comfortable. 9. Equipment purchase and rental policy and three year strategy for same a. The decision to purchase por lease equipment lies with the Project Director. All capital items must be liquidated at the end of the project, either by sale, or by transferring them to another CSIRP project. 10. Government Lobbying a. Chris points out the distinction between "Independent producers", and "Freelancers", the latter working within CBC. b. We represent the needs of Individual producers. Freelancers are represented by the Media Guild. c. The Board will Develop a Lobbying Committee. Heather will co- ordinate this effort, and it will focus on Advocacy, Education, and Lobbying. 11. The Politics of media. Do we care? a. CSIRP is about radio, not politics. 12. Defining "accreditation" of members for press credentials etc. a. We will issue membership cards to our members, but choose not to attach any significance to membership. We do not "accredit" reporters. 13.
